Reporting directly to the Dispatch Supervisor, the Service Dispatcher is responsible for dispatching technicians as service calls are received, maintain customer database with current information, and assisting with general administrative duties.
Must be clear and concise when communicating with department managers, employees, and company customers, including keeping customers appraised as to the company requested lead-times.
Duties/
Responsibilities:
Take information from incoming customer calls, emails, and website portals and timely dispatching to a Field Service Technician who is on the work schedule.
Respond to all messages left overnight.
Update customer record as information is received.
Follow up on technicians who are not responding to dispatched calls.
Monitor technicians and calls assigned and reassign calls if needed.
Escalates unresolved issues to management as appropriate.
Assist with general office duties.
Always maintain a professional attitude and appearance.
Participate in formal and informal training programs to increase skill and expertise.
Performs other related duties as assigned.
Required Skills/Abilities:
Knowledge of Office management systems and procedures.
Strong organizational skills and attention to detail.
Excellent time management skills and the ability to prioritize work.
Excellent customer service skills.
Strong technical computer aptitude and knowledge of business tools (e.
g.
, Microsoft Word, Excel, PowerPoint).
Strong analytical and problem-solving skills.
Ability to work independently and as a team.
Ability to handle multiple tasks and maintain a high quality of work.
Ability to function well in a high-paced environment.
Effectively communicate with internal and external personnel, both verbally and in writing.
Education and
Experience:
High School diploma or equivalent Dispatch experience a plus but not required.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer Must be able to lift up to 25 lbs.
